How does Reply's HubSpot integration work?

Contacts and companies sync both ways with HubSpot on the fastest schedule of any Reply CRM integration. Statuses, tasks, calls and emails travel from Reply to HubSpot only, and those activity records are written once and never updated. Around seventy HubSpot properties are excluded from mapping.

Availability

The integration is available on plans that include CRM integrations. On the HubSpot side you need an account that can read and write contacts and companies; a marketing-only seat is not enough.

Anything that attaches to a deal (a task, call or email logged against a deal rather than a contact) needs an additional HubSpot permission. Without it those record types do not appear as options, which is usually mistaken for a missing feature.

How to connect HubSpot

Before you start

  • Sign in to HubSpot as a user who can read and write contacts and companies
  • Decide whether you want deal-linked activity, and grant that permission first if so
  • Decide which direction each kind of record should travel; it is easier to set up once than to change later

Connect

  1. Log in to Reply.
  2. Open the Integrations page, find HubSpot, and click Connect.
  3. Enter your HubSpot credentials in the pop-up window.
  4. Once connected you are redirected to the integration's Steps page, where you choose what syncs.

Set up what syncs

You start from a default profile with a standard set of steps, or build a custom profile and choose the steps yourself. Each kind of record is its own step, switched on or off independently. After you connect

The first sync brings across contacts matching your filters; it does not import your whole HubSpot database unless you ask it to. Each later cycle re-examines a rolling recent window rather than the entire history, so a record edited a few days ago is still picked up.

Reply activity appears on the HubSpot record's timeline once the relevant step is enabled. Enabling it does not backfill; only activity from that point forward is written.

What doesn't sync

  • Deals and opportunities as objects. HubSpot deals can be the target of a logged task, call or email, but deals themselves are never synced into or out of Reply.
  • Around seventy HubSpot properties (mostly analytics and email-engagement fields HubSpot calculates itself) are never offered for mapping. If a property is not in the list, it is unavailable rather than hidden.
  • Three property types cannot be mapped at all: rich-text, calculated, and date-with-time.
  • Activity in the other direction. Work logged in HubSpot does not appear in Reply.
  • Updates to activity already written. Correcting an email in Reply does not change the copy on the HubSpot timeline.
  • Contacts with a placeholder email address when the identifier is email; typically contacts sourced from LinkedIn with no real address.

Common problems

  • A contact never arrives – usually a placeholder email address, a HubSpot-required field left empty, or a value longer than the HubSpot property allows. Full guide

  • A deal-linked option is missing – the extra HubSpot permission has not been granted.

Pause or disconnect

Turn the integration off to stop all syncing while keeping your steps and mappings. Disconnecting removes the authorization; records already synced stay in both systems, and nothing is deleted on either side. Reconnecting restores the link: check your steps afterwards rather than assuming every setting survived.

Does Reply sync HubSpot companies?

Yes, both ways. Companies become accounts in Reply and contacts are linked to them.

Will my Reply emails appear on the HubSpot timeline?

Yes, once the email step is enabled. They are written once and not updated afterwards, and enabling the step does not backfill history.

Can I sync HubSpot deals?

No. Deals are never synced as objects. They can be the target of a logged task, call or email if you have granted the extra permission.

Why is a HubSpot property missing from the mapping list?

Around seventy properties are excluded, and three property types cannot be mapped. If it is not in the list, it is not available.
